Job description

Role :

The Rentals Administrator will perform rental and fleet administration for our Water Transfer Division. Reporting to the Controller, this role blends tracking, management, and reporting to minimize costs.

Job Duties

  • End-to-end vendor relationship management, including vendor onboarding and set-up, communication on invoicing and outstanding payables, monitoring of payment terms and credit
  • Includes Purchase Orders for materials / services prior to them being delivered to or provided for Aureus.
  • Tracking current and returned rentals
  • Daily review of vehicle alerts / status via Geotab
  • Review pre-trips daily
  • Maintenance and KM tracking
  • File de-mob and pre-mob inspections for jobs, note any maintenance and deficiencies and communicate these to the appropriate position
  • Three-way matching of purchase orders (“POs”) to invoices to flag and resolve discrepancies
  • Routing and management of the approval process to comply with internal control requirements and approval deadlines
  • Ongoing reconciliation of vendor statements to internal accounting records
  • Timely and accurate data entry and coding of invoice information to the system
  • Assist with month-end and closing out rental PO’s
  • Other duties as required
  • Job Requirements

    Experience & Training

  • A diploma or degree in accounting, finance, or a related field of study is an asset
  • Relevant accounts payable experience
  • Knowledge of accounting ERP software, field service software and invoice processing software
  • Skills & Expectations

  • Detail-oriented and takes initiative
  • Strong aptitude with data entry using invoice processing and accounting applications
  • Solid understanding of basic bookkeeping and accounting payable principles (coding of expenditures - expense vs capital, prepaid expenses, leases, divisional and locational reporting, etc.)
  • Confident and effective communicator (written and verbal)
  • Mindset of cost-effectiveness and business process efficiency
  • Adaptable and comfortable with change, learning and ambiguity
  • Excellent internal and external communication skills
  • Strong working knowledge of Microsoft Office
  • Ability to work in a diverse and team-oriented environment.
