About the Role

As an Office Assistant , you’ll play a crucial role in keeping office operations running smoothly. You will be the key link between management, employees, clients, and vendors while gaining exposure to various roles and departments. Your contributions will directly impact efficiency, organization, and client satisfaction.

Key Responsibilities

  • Office Administration : Ensure seamless office operations by managing phone calls, responding to emails, maintaining office supplies, and handling filing, photocopying, and mailing, keeping teams organized and efficient.
  • Scheduling & Coordination : Enhance productivity by organizing meetings, managing calendars, and coordinating travel arrangements, ensuring smooth workflow and effective time management.
  • Document Management : Improve accuracy and professionalism by preparing, proofreading, and formatting memos, invoices, reports, and other office documents.
  • Meeting Support : Contribute to effective decision-making by setting up meeting rooms, preparing agendas, taking minutes, and ensuring follow-up actions are completed.
  • Customer Service : Strengthen relationships by acting as the first point of contact for clients, vendors, and visitors, providing a welcoming and professional environment.
  • Financial Administration : Support business operations by assisting with invoicing, budget tracking, and expense reporting as needed.
  • Team Assistance : Facilitate collaboration and efficiency by supporting office staff with various administrative tasks as required.
  • What We’re Looking For ✅ Must-Have Qualifications :

  • Previous office / administrative experience.
  • Strong organizational and time-management skills.
  • Excellent customer service and communication abilities.
  • Ability to work independently and meet deadlines.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Nice-to-Have Skills :

  • Experience with scheduling and travel coordination.
  • Familiarity with accounting software for invoicing and expense tracking.
  • Multilingual skills (a plus!).
