Accounts Payable Coordinator
DUCA is looking for an Accounts Payable Coordinator to join our growing team!
Job Purpose & Summary
The Accounts Payable Coordinator is responsible for running and is the first point of contact for DUCA’s end-to-end accounts payable cycle, ensuring all invoices are paid in an efficient and timely manner while also supporting the Finance team with period-end closing activities. This position processes, verifies, and reconciles invoices, monitors expenses, and keeps a record of it all.
Key Accountabilities & Duties
Organize and identify the nature of invoices to efficiently process them to proper GLsEnsure approvals from the appropriate business units in accordance with delegation of authority matrixProcess weekly payments via cheques and wires for approved invoices and monitor bi-weekly Accounts Payable Aging to ensure items are paid on timeBook the bank transfers in the core banking system and make credit card payments, ensure accuracy and timelinessInitiate and co-ordinate the proposed transition from cheque payments to EFT paymentsReconcile vendor statements, communicate with vendors as first point of contact to discuss invoice related issues, if any, and resolve themField incoming calls and emails from vendors; respond, redirect, or escalate as appropriateReview employee travel and expense reports to ensure proper coding and approval and adherence to company policiesWork closely on project related expenses to review and determine appropriate accounting treatment (capital or expense)Reconcile project expenses and compare actual spent to budget and collaborate with the business units to analyze and justify variancesPrepare reconciliations for the month-end and year-end close processesAssist with annual audits and business units’ requests for invoicesAssist in analyzing and documenting significant periodic expense variancesHelp determine opportunities to streamline processes, identify automation opportunities, eliminate unnecessary or redundant tasks, and improve governance and oversightDevelop and implement accounts payable procedures by documenting and analyzing current procedures and recommending changesComplete other accounting related duties, as requiredOccupational Experience & Education Requirements
2+ years of accounts payable related working experienceUnderstanding of principles of finance, accounting, and bookkeeping requiredDegree in (or working towards) Accounting, Finance or Commerce considered an assetKnowledge, Skills & Attributes
Strong analytical and communication skills (written and oral)Strong mathematical and data entry skillsAbility to multi-task with a high level of attention to detail and accuracy in a deadline driven environmentAbility to prioritize tasks and manage an increased workload and demands during peak periodsStrong computer skills including Microsoft Word, Excel, and AdobeAbility to establish and maintain effective working relationships with co-workers at all levels within the organizationStrong problem-solving and investigative skills, and the ability to make sound recommendationsDemonstrated discretion and confidentiality when handling sensitive informationWorking Conditions

Salary : The annual salary range for this position starts at $50,392. Actual annual base salaries will vary depending on relevant job-related factors such as experience, knowledge, skills, qualifications, and education / training. Depending on the position, DUCA’s total compensation package may include incentive compensation tied to company and individual performance or other benefits.
