ROLE POSITIONING AND OBJECTIVES
The Executive Assistant / Fleet Coordinator role will be responsible to provide daily support and assistance to the VP Sales & Trade Marketing to enable efficient operation of the function. The incumbent will be required to adopt a high level of professionalism and positive attitude in the daily interactions with different stakeholders cross functionally. The incumbent will also work closely with the EHS / ESG team with regards to the smooth coordination of activities involving the fleet management.
Reports to : Vice President – Sales & Trade Marketing.
WHAT YOU WILL BE ACCOUNTABLE FOR
Administrative Support : Manage the VP's daily calendar, emails, expenses, and travel arrangements. Perform general administrative duties and act as a backup for other Executive Assistants.Vendor and Budget Management : Handle vendor processes, manage purchase orders and invoices, and track budget spending. Ensure compliance with vendor procedures and policies.Event and Logistics Coordination : Organize internal and external meetings, travel bookings, and client entertainment events.Fleet Management : Oversee fleet governance, manage supplier relationships, and ensure compliance with fleet policies. Generate reports on vehicle performance and manage driver safety scorecards.ESSENTIAL EXPERIENCE, SKILLS, AND KNOWLEDGE
Education / Qualifications / Certifications Required
Higher Secondary Studies and working towards a certificate in secretarial or administrative duties.Experience Required
Minimum of 2 years in a secretarial or administrative support role in a dynamic business environment.The role is based at our head office, and interested candidates must be willing to relocate to Montréal.Technical / Functional / Leadership Skills Required
Proficiency with MS Office, with advanced knowledge of Excel and intermediate knowledge in PowerPoint and word and SAP.Ability to effectively plan, organize and prioritize as well as strong problem solving skills.Strong interpersonal skills, and the ability to work in a dynamic, fast paced team environment.Excellent communication skills both written and verbal in French and English.
