Job Purpose :
Accounts Payable Coordinator is responsible for managing the full cycle of accounts payable, including duty drawback, operating expenses, trade payables, and employee travel claims and reimbursements.
Key Responsibilities and Accountabilities :
Oversee Accounts Payable functions for all associated companies, including :
Maintaining an ongoing record of payables
- Preparing monthly cash forecasts
- Processing electronic transfers and payments
- Conducting cheque runs
- Preparing account analysis as needed
- Generating and reviewing the monthly aging report
- Researching and resolving any invoice discrepancies
- Ensuring timely payments
- Filing monthly HST / GST returns
- Maintaining and updating vendor files in accounting software
- Assisting with month-end closing processes
- Preparing audit schedules annually, including W1099 and T4A
- Process and submit duty drawback claims
- Oversee patents and trademarks registration and renewals
- Reconcile statements, ensuring all corporate and individual credit cards are paid by the due date
- Reconcile and settle monthly rent, utilities, and related expenses
- Handle accounting for associated companies and group company payables
- Prepare all relevant reports and schedules for associated and operating companies
- Complete month-end accrual preparations
- Investigate and dispute customer claims, gathering necessary support materials
- Manage deductions with third-party subcontracted relationships
- Prepare a monthly landed import cost report
- Contribute to AP automation efforts and improve process efficiency
- Perform additional duties as assigned.
