As part of this commitment we are embarking on an exciting digital transformation to implement a new modernized hospital information system (HIS). Our dedicated HIS team will collaborate closely with our trusted HIS vendor (Epic) and internal subject matter experts to develop a fully functional system that will empower us to deliver exceptional care and services.
This is a 22 month contract position. The Project Coordinator will be responsible for coordinating project activities supporting the various teams maintaining schedules and managing logistics to ensure all end user readiness. This role is part of the HIS project structure with a key responsibility to design deliver and sustain our systems to address both clinical and nonclinical needs ensuring the HIS is utilized effectively and efficiently in patient care.
Accountabilities :
- Develop and manage schedules review and revisions
- Collaborate with clinical and nonclinical operational leadership for schedule development and the need for flexible hours based on the enduser schedules (e.g. afterhours sessions to accommodate various shifts.)
- Coordinate logistics for resources needed for the project
- Develop and facilitate enrollment process with learning management system
- Validation of attendance and successful completion of assessments
- Work closely with the internal Epic HIS project team to establish the process for provisioning access to all users once formal proficiency is successfully completed
- Develop reports evaluations and participant surveys
- Planning implementation and evaluation of assigned projects (i.e. upgrades adoption sessions)
- Collaborate with the Medical Staffing Office to seamlessly integrate physician personalization sessions into existing onboarding processes enhancing engagement and delivering a comprehensive experience
- Create and maintain documentation to build a repository of key configuration decisions and associated build
- Attend meetings to discuss deliverables issues end user concerns and upcoming milestones
- Work closely with HIS team members to identify and troubleshoot issues to find creative resolutions
- Partner with the Epic HIS vendor representatives to maintain communication and help vendor staff understand hospitals operational needs
- Participate in an oncall rotation to provide 24 / 7 support
- Work extended hours (days evenings nights weekends) as required
Qualifications :
Bachelors degree in a related field is requiredExperience in a health care organization and hospital operations is an assetExperience with various platforms and instructional design software to deliver content and schedules is an assetPrevious experience working with a modernized HIS at an EMRAM Stage 6 or higher and / or Epic certification is an assetStrong understanding of hospital workflows in either clinical or nonclinical areas is an assetDemonstrated critical thinking skills strong organizational skills and welldeveloped written and verbal communication skills are requiredDemonstrated proficiency working with Microsoft Enterprise applications (i.e. Microsoft Visio Word Excel PowerPoint Outlook SharePoint OneNote) is requiredAbility to learn new software and systems demonstrating technical aptitudeAbility to work in an agile environment to deliver an HIS that meets end user needsAbility to work independently and in collaboration with a team to meet project milestones and ensure successful project deliveryAbility to analyze user requirements and produce creative solutions to meet end user needsAbility and willingness to support project success in a manner that goes beyond completion of assigned tasksAbility to persevere in a high intensity project to overcome obstacles and difficult situations within a time sensitive implementationMust demonstrate Oslers Values of Respect Excellence Service Compassion Innovation and CollaborationAdditional Information :
