Alberta Health Services is seeking an experienced and dedicated Administrative Support professional to join our team. As the first point of contact for our organization, the Administrative Support plays a crucial role in providing efficient and effective administrative support to our team and ensuring a positive experience for our clients. This is a dynamic and fast-paced role, requiring an individual who is highly organized, able to manage multiple tasks, and has excellent communication skills.
Key Responsibilities :
- Greet and welcome visitors and clients in a professional and friendly manner
- Answer incoming calls and direct them to the appropriate person or department
- Receive and distribute mail, faxes, and emails to the appropriate parties
- Maintain and update electronic and paper records, including client files, databases, and other information systems
- Prepare and distribute correspondence, reports, and other documents as required
- Schedule and coordinate meetings, appointments, and events for department staff
- Assist with the preparation and distribution of meeting agendas and materials
- Coordinate travel arrangements and accommodations for department staff
- Process purchasing and expense requests in accordance with organizational policies and procedures
- Provide general administrative support to the department, including photocopying, filing, and other duties as assigned
Qualifications :
High school diploma or equivalentMinimum of 2 years of experience in an administrative support roleStrong organizational and time management skillsExcellent communication skills, both written and verbalProficient in Microsoft Office SuiteAbility to work independently and as part of a teamDemonstrated ability to multitask and prioritize tasks effectivelyExperience working in a healthcare or social services setting is an asset
