Job description

We are seeking a highly organized and detail-oriented Office Administrator to support our team. The ideal candidate will possess excellent communication skills, both written and verbal, and demonstrate the ability to multitask in a fast-paced construction environment. This role requires proficiency in all Microsoft Office programs and a proactive approach to administrative and project support tasks. This is an in-person, on-site position at our Waterloo, ON location.

Key Responsibilities :

  • Provide administrative support to the Vice President of Construction and other team members as needed.
  • Prepare and edit correspondence, reports, and other documents with a high level of accuracy and professionalism.
  • Maintain and organize project files, contracts, and documentation for construction projects.
  • Assist in preparing and distributing project-related reports, presentations, and proposals.
  • Track and manage the construction materials, tools, and equipment inventory. This includes keeping accurate records of stock levels and ensuring that inventory is organized and accessible.
  • Work closely with project managers and site supervisors to maintain material counts and equipment logistics.
  • Conduct regular audits of inventory to ensure accuracy and compliance with company policies. Address any discrepancies or issues that arise
  • Ensure compliance with company policies and procedures related to billing and accounting.
  • Act as a point of contact for internal and external stakeholders, ensuring timely communication.
  • Handle incoming emails, and other communications professionally and efficiently.
  • Perform general office duties, including ordering supplies, filing, and data entry.
  • Assist with invoicing, budget tracking, and expense reconciliation as needed.
  • Manage daily office operations, greeting visitors, and handling correspondence.
  • Assist in planning and coordinating special events

WHAT WE ARE LOOKING FOR

  • Post secondary education in business administration, human resources or related field preferred.
  • A minimum of 5 years’ experience in an administrative or human resource role, preferably within the construction industry.
  • Extremely well-organized with strong attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multi-task and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.).
  • Strong problem-solving skills and the ability to work independently.
  • Professional demeanor with a positive attitude.
  • Ability to handle confidential information with discretion.
