The Reception Clerk at Jackson’s Point Conference Centre (JPCC) is the first point of contact for guests and visitors. This role is essential for ensuring a welcoming and efficient experience for all guests. The Receptionist Clerk will manage a variety of tasks including greeting visitors, handling inquiries, answering the phone, coordinating room bookings, and performing administrative duties to support the smooth operation of JPCC.
KEY RESPONSIBILITIES :
Administrative Support
- Answer, screen and forward incoming phone calls.
- Handle inquiries via email and other communication channels.
- Oversee the smooth operation of courier services.
- Monitor and respond booking inquiries via emails, phone calls and online inquiries
- Gather information from customer such as event date, group size, and special requests.
- Provide initial information on pricing, availability, and policies.
- Enter and update booking details manually and with booking software.
- Maintain clear and professional communication with clients throughout the booking process.
- Address special requests and ensure guest needs are documented.
- Coordinate room assignments, meeting spaces, and meal plans based on client preferences.
- Communicate booking details with internal departments (housekeeping, kitchen, maintenance).
- Take and relay messages accurately and promptly.
- Perform general office duties such as filing, data entry, and maintaining records.
- Prepare and distribute correspondence and reports as needed.
- Ensure confidentiality and security of sensitive information.
- Maintain accurate and up to date records.
- Monitor and manage office supplies and inventory as needed.
Customer Service
Greet and welcome visitors in a courteous and professional manner.Assist visitors with sign-in procedures and notify relevant staff members of their arrival.Address and resolve any customer complaints or issues with professionalism and empathy and understand when to escalate to the receptionist supervisor.Provide exceptional service to all visitors, ensuring their needs are met.Perform other related duties as required.
Working Conditions :
This is a casual / relief position.There are no standard weekly hours of work as an “elect-to-work” position, no guaranteed hours and work will be offered on an as needed basis.Work could include days, occasional evenings, overnights and weekends.Primarily office-based at the reception area, which may involve sitting for extended periods. This role may require occasional lifting of office supplies or materials.Ability to lift / move on a regular basis up to 25 pounds (11.3398 kgs.).QUALIFICATIONS AND EDUCATION REQUIREMENTS :
Completion of Secondary School.Post-secondary diploma or degree in Business Administration, Office Management is preferred.EXPERIENCE AND KNOWLEDGE :
Minimum of one (1) year of prior related experience as a receptionist, administrative assistant, or in a customer service role.Experience with office equipment (e.g., phones, printers).Basic computer skills and experience with Microsoft Office software.Alternative combinations of education and experience may be considered.
