Job Description :

Our client is seeking a Practice Assistant to join their Financial Services Group. This role involves providing comprehensive administrative and legal support to lawyers while acting as a workflow coordinator for other support services. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment .

What You’ll Do :

  • Manage and maintain lawyers’ calendars, scheduling meetings, and providing timely reminders.
  • Coordinate meetings, book conference rooms, and arrange travel as needed.
  • Handle document production, file management, and general administrative tasks.
  • Open, maintain, and close client files while ensuring accurate record-keeping.
  • Support marketing activities, including the preparation of pitches and presentations.
  • Serve as a primary point of contact for internal and external inquiries.
  • Monitor emails and correspondence, ensuring timely responses and follow-ups.
  • Maintain client details and manage the firm’s CRM system.
  • Arrange and facilitate client meetings while assisting with general client administration.
  • Review and edit correspondence, legal documents, reports, and presentations.
  • Prepare and maintain Excel spreadsheets as required.
  • Assist in the billing process, including generating pre-bill reports and sending invoices.
  • Process financial transactions such as cheques, wire transfers, and payments.
  • Help colleagues and contribute to departmental collaboration.
  • Support lawyers with various administrative tasks and special projects as needed
  • What You Need :

  • Legal Administrative Assistant certificate.
  • 2–5 years of experience in a legal administrative role, preferably in financial services.
  • Experience with file management, billing, and wire transfers.
  • Proficiency in MS Office (especially Word and Excel).
  • Strong organizational and time-management skills with excellent attention to detail.
  • Ability to work independently while managing multiple tasks efficiently.
  • Exceptional communication and interpersonal skills, with a professional demeanor
