What you will be doing in the role of Service Coordinator :

Your responsibilities may include, but are not limited to :

  • Coordinate all communications between customers, outside sales, and technicians
  • Handle emergency calls from customers and coordinate the dispatch of technicians, schedule service team’s time and maintain electronic schedule
  • Provide inside support to the technical team with respect to phones, estimating of work, and pricing of work orders
  • Ensure the following is communicated to technicians : service scope, safety requirements, parts required, contact information, site address, reports required
  • Respond to customer inquiries, complaints, and investigate problems with billing
  • Prepare new and revised Service Agreement contracts
  • Prepare job estimates, including quotations and pricing on jobs
  • Prepare work orders, agreements and projects in IFS
  • Verify, input and summarize technician hours by job against timesheets
  • Provide administrative support for the business with phone coverage, mail, filing, payables, etc.
  • Verify correct process and information was inputted on orders by the Order Management Coordinator
  • Communicate any change order / cost revisions to the Order Management Coordinator
  • Send Order Management Coordinator approval to close / invoice a customer order
  • Review costs and completion of job
  • Track completed jobs to ensure they are invoiced / closed in timely fashion, identify concerns or delays
  • Administration of all work orders.
  • Monitor and prepare renewal letters and transmittals for contracts
  • Schedule start-ups
  • Administer warranty claims and repairs on products
  • Weekly audit of dispatch reports
  • Respond to vendor inquiries, issue purchase orders, attain approvals for invoices and follow-up on cheques
  • Order parts or supplies as required for technicians on-site service

Knowledge and skills required for the role :

  • Bachelor’s Degree and / or College Diploma
  • Three to Five (3-5) years’ experience in service coordination roles or order management roles with services exposure
  • Excellent planning, organizational, and time management skills
  • Effective verbal and written communication skills
  • Strong interest in customer service, building customer relationships and exceeding customers’ needs
  • Strong analytical and problem-solving skills
  • Strong attention to detail
  • Ability to handle and prioritize multiple objectives at once
  • Hard working with high personal standards
  • Team player
  • Proficiency in MS Office, Windows
