JOB OVERVIEW : COORDINATOR, UNIVERSITY SPACE ADMINISTRATION

Reporting to Director, University Space, this position plays a key role in the operation of the University Space Administration department. The Coordinator acts as the first point of contact for the department : 1) providing space related information and advice to internal and external stakeholders, and 2) thoroughly and tactfully responding to requests and issues. In response to evolving institutional priorities and planning exercises, client initiated requests and issues, and a comprehensive range of initiatives, the Coordinator develops procedures, standards and benchmarks in support of a coordinated, university wide approach to space administration. The Coordinator is responsible for the establishment, implementation and maintenance of one or more space administration databases. The Coordinator is the Secretary to the University Space committee, which serves as a forum for policies, procedures and strategic space issues. In carrying out his / her responsibilities, the Coordinator analyzes and interprets complex space administration issues, researches options and recommends solutions.

EDUCATION AND EXPERIENCE

  • Completion of a baccalaureate degree in business, public administration, public policy or a related field and / or an equivalent combination of education and experience.
  • Three years of related experience working in a complex administrative environment. Knowledge of space administration, KPU's programs and services, and the broader B.C. post-secondary system, would be an asset.

QUALIFICATIONS

  • Demonstrated professionalism in establishing interpersonal relationships, managing conflict and in working effectively with a diverse range of people. Demonstrated ability to develop or elicit professionalism in others.
  • Demonstrated ability to exercise a high level of initiative and work independently with minimal supervision.
  • Demonstrated ability to exercise good judgment, particularly in successfully recognizing, analyzing and resolving problems.
  • Demonstrated knowledge and understanding of information and data analysis.
  • Proven ability to comprehend, communicate and comply with a wide range of information including legal, policy and financial documents.
  • Proven ability to develop effective administrative procedures, standards and benchmarks in a systematic, organized fashion.
  • Excellent verbal communication skills, exhibiting a high level of tact and diplomacy. Experience in public speaking would be an asset.
  • Excellent written communication skills with proven ability to compose standard forms of business communication such as letters, email, memoranda, minutes, statistical and informational reports, etc.
  • Excellent organizational skills with proven ability to embrace changing priorities and ambiguity, to work on multiple tasks simultaneously, to meet deadlines and to maintain high levels of client service while working in a high pressure / rapidly changing environment.
  • Demonstrated intermediate level of competency with Microsoft Office products including Word, Excel, PowerPoint; Outlook, Explorer, Access or other database software, SharePoint and other web design software. Working knowledge of Banner would be an asset.
  • Minimum of 40 wpm keyboarding skills.
  • A valid BC driver license is required as there is routine travel to all KPU campuses and occasional travel to other locations in the Lower Mainland.
  • Must able to stand and walk for extended periods and regularly climb stairs as there are routine tours of entire campuses, inside and outside, and often multiple campus tours on the same day.

    Salary Information

    Annual salary increases are based on hours worked and anniversary dates
