Service / Warranty Administrator

Do you excel in customer service and problem solving? Do you have experience in customer service industry or the heavy-duty industry? Are you numbers-oriented with experience in invoicing? If so, this could be the position for you!

Hours :   Monday to Friday, 8 : 00 AM to 5 : 00 PM (or as required)

Responsibilities :

  • Submits & monitors warranty service claims, claim corrections, and investigates the variances. Tracks discrepancies and maintains files. Posts vendor credits.
  • Advises on warranty parameters and when warranty work impacts customer service or payment.
  • Monitors Parts Return in in the system, and distributes parts return sheets to branches.
  • Tracks core returns, and processes core credit invoices for claims having cores requested back by vendor.
  • For repair order billing, create invoices. Reconciles sublet accounts, and follows up regarding unfinished repairs.
  • Intakes internal and external customer requests.
  • Intakes the unit upon its arrival at Maxim. Upselling of services as applicable.
  • Conducts in-depth interviews for complaints; determines if the customer complaint may result in a warranty repair and alerts the shop.
  • Completes closing paperwork and outtake procedures
  • Assisting front counter as customer demand requires
  • Responds to customer questions or concerns about warranty.

What you need to succeed in this role :

  • Minimum 3 years of administrative office experience
  • Heavy duty truck and trailer (or related) industry experience is an asset
  • General understanding of warranty guidelines and approval process and policies.
  • 2+ years invoices experience with knowledge of debits / credits
  • Prior frontline customer service experience
  • A team player with strong commitment to the customer
  • Strong problem-solving and decision making skills
  • Organized, sets and manages priorities
  • Numbers oriented and shows attention to detail.
  • Excellent fact-finding and analytical skills
  • Intermediate level data entry and MS Excel skills
  • Ability to work with interruptions
