Located in the heart of the King West neighbourhood, the Waterworks Food Hall sits at the core of the restored Waterworks building. Housing over 12,000sqf of multi-purpose event space we are seeking a highly motivated Event Coordinator with a passion for the details and delivering exceptional customer experiences.
Waterworks Food Hall, the much-anticipated new Food Hall in the heart of King West, will be open daily with multiple food vendors, bars, and experiences to enjoy. Boasting four separate and unique event spaces, and the opportunity for full Food Hall buy-outs, this is an exciting opportunity to contribute to the development of the newest event venue helping shape Toronto's fantastic hospitality landscape.
Role and Responsibilities
Event Planning
- Lead the planning process for all converted leads.
- Ensure that preferred vendors are engaged with clients.
- Answer client questions and maintain a response time of less than 24 hours.
- Prepare floor plans and BEO for both client and internal use.
- Ensure accuracy of event details and billing requirements, including deposit structure.
Event Coordination
Conduct weekly BEO meetings with vendors and internal stakeholders.Ensure the day of staff are fully oriented on-site and conduct the pre-event briefing.Quality check client satisfaction during the eventRegularly conduct spot checks of vendor deliverables to ensure consistency, quality, and client satisfaction.Post Event
Ensure billing accuracy and any additional consumption, providing feedback to accounting.Process client feedback, providing actionable recommendations to the Event Sales Manager and Woodcliffe team for continual improvement.Ensure CRM accuracy and client details are correct, update with preferences for future business.Qualifications
Minimum of 2 years' experience in an event venue or catering company, specializing in coordination and event management.Proven success in event planning including management of third-party vendors.Must be highly organized with the ability to manage competing tasks and deadlines, of comparable priority.Ability to communicate effectively with all levels of guests, employees, property management, and ownership.Energetic and outgoing, with a positive attitude, committed to providing outstanding service.Working knowledge of CRM and floor plan software is an asset.Service / Operational experience is an asset.Experience with Microsoft Office is an asset.Adaptable to flexible work schedule and must be able to work weekends and evenings as needed.To apply, please email.
