Job description

The Administrative Assistant is a vital member of the Marriott International, Inc. team. This individual will provide administrative support to the senior leadership team and perform a variety of tasks to ensure the smooth and efficient operation of the office.

Key Responsibilities :

  • Manage the calendar of the senior leadership team, scheduling meetings and appointments, and coordinating travel arrangements
  • Answer and screen phone calls, take messages, and respond to inquiries in a professional and timely manner
  • Prepare and edit reports, presentations, and other documents as requested by the senior leadership team
  • Organize and maintain files, both electronic and physical, ensuring all documents are easily accessible and confidential information is handled with discretion
  • Process expense reports and invoices, and assist with budget tracking and management
  • Coordinate and set up conference calls, webinars, and meetings, including arranging for catering if needed
  • Greet and welcome guests, ensuring a positive and professional experience upon arrival
  • Handle incoming and outgoing mail, including distributing to the appropriate parties and preparing packages for shipping
  • Handle general office duties such as ordering supplies, maintaining office equipment, and overseeing office cleanliness
  • Assist with special projects and events as needed

Qualifications :

  • High school diploma or equivalent required, college degree preferred
  • 2 years of administrative or executive assistant experience
  • Proficient in Microsoft Office Suite, with advanced skills in Microsoft Excel and PowerPoint
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to prioritize and handle multiple tasks in a fast-paced environment
  • Proactive and able to work independently, taking initiative to anticipate needs and provide solutions
  • Ability to handle sensitive information with confidentiality and discretion
  • Previous experience in the hospitality industry is a plus
  • Must be able to work a flexible schedule, including evenings and weekends, as needed
