Job Title : Corporate Law Legal Assistant.
Location : Downtown Toronto.
Full-time, Permanent.
Hybrid.
Main responsibilities :
- Assisting in the organization and distribution of documents, receiving executed documents, managing their filing, and updating the database and records.
- Preparing share certificates.
- Entering corporations into the corporate database and assigning minute book numbers.
- Coordinating the closure of corporate records and preparing letters / receipts for clients with enclosed records.
- Consolidating directors, officers, and shareholders registers / ledgers from the database.
- Drafting report letters for clients regarding incorporation / organization, name changes, etc., and compiling report books.
- Creating basic resolutions for directors and shareholders (e.g., changing the registered office address, officer changes).
- Ordering corporate profile reports.
- Undertaking special projects as needed (e.g., preparing charts of officers and directors, and organizational charts by reviewing minute books and registers).
- Scheduling future events and following up as necessary.
- Filing minute books and importing minute book documents into the corporate database.
- Maintaining general Word documents and physical files.
Qualifications :
- Excellent interpersonal and communication skills, exceptional organizational abilities, and a commitment to producing accurate, high-quality work make this position an ideal match.
- Over 2 years of experience in Corporate Law; familiarity with CorpLink is preferred.
- Capable of handling a large volume of documents and thriving in a fast-paced environment.
- Collaborative team player with a strong willingness to learn.
- Proficient in the Microsoft Office Suite.
- Skilled in prioritizing workflow and managing essential details.
- Completion of a Legal Assistant Diploma is an advantage.
