Position Overview

The Project Manager (Administrative Focus) will oversee and manage organizational projects

while maintaining high-level administrative efficiency. This role requires a blend of project

management expertise and administrative coordination to ensure strategic initiatives are

executed smoothly. The ideal candidate is a detail-oriented professional with exceptional

organizational, communication, and problem-solving skills.

Key Responsibilities

1. Project Management & Coordination

  • Oversee and manage multiple projects, ensuring alignment with Grow Women Leaders’

mission and goals.

  • Develop project timelines, assign tasks, and track deliverables.
  • Maintain and update project documentation, reports, and progress updates.
  • Identify risks, bottlenecks, and solutions to keep projects on schedule.
  • Ensure effective communication across departments, partners, and stakeholders.
  • 2. Administrative & Operational Support

  • Provide executive-level administrative assistance to leadership.
  • Manage project-related calendars, scheduling, and meeting coordination.
  • Draft and organize reports, meeting minutes, and official correspondence.
  • Develop and maintain structured filing systems for digital and physical records.
  • Oversee procurement and vendor contracts related to project execution.
  • 3. Budgeting & Financial Tracking

  • Assist in developing and managing project budgets.
  • Track and reconcile expenses, ensuring compliance with financial policies.
  • Support grant applications and reporting by maintaining accurate financial records.
  • Coordinate with finance teams on invoicing, reimbursements, and funding allocations.
  • 4. Stakeholder Engagement & Communications

  • Serve as a key liaison between Grow Women Leaders and external stakeholders.
  • Coordinate partner meetings, community engagement sessions, and project briefings.
  • Assist in the preparation of reports, presentations, and promotional materials.
  • Maintain clear and consistent communication with project teams and stakeholders.
  • 5. Event Planning & Logistics

  • Plan and execute project-related events, workshops, and training sessions.
  • Manage logistics, venue bookings, catering, and material preparation.
  • Develop event schedules, coordinate guest speakers, and oversee event execution.
  • Ensure post-event reporting, follow-ups, and data collection for evaluation.
  • 6. Compliance & Reporting

  • Ensure projects align with internal policies and external regulations.
  • Prepare and submit required reports for funders, government bodies, and partners.
  • Monitor key performance indicators (KPIs) to measure project impact.
  • Identify best practices and lessons learned for continuous improvement.
  • Qualifications & Skills

    Required :

  • Bachelor’s degree in Business Administration, Project Management, or a related field.
  • 3+ years of experience in project management, administration, or operations.
  • Strong knowledge of project management methodologies and best practices.
  • Exceptional organizational and time management skills.
  • Excellent communication skills (written and verbal).
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and project management tools
  • Asana, Trello, or Monday).

  • Ability to multitask, prioritize tasks, and meet deadlines.
  • Preferred :

  • Experience working in non-profits, advocacy groups, or social enterprises.
  • Familiarity with grant writing, budget management, and funding proposals.
  • Knowledge of diversity, equity, and inclusion (DEI) initiatives.
  • Experience in event planning, stakeholder engagement, and reporting.
  • Project Management Professional (PMP) certification is an asset.
