Job description

PMO Analyst

Our client is searching for a PMO Analyst to join their team. This role will be responsible for providing the IT Contracts and IT Purchasing Team with administrative support such as creating Purchases Order requisitions via Oracle, reconciling and processing invoices through to payment, creating monthly billing reports to be submitted to our vendors, and other document management duties as necessary. This role works closely with the IS Infrastructure PMO Team and reports to the Infrastructure Program Delivery.

Your success will be defined by your ability to :

  • Create PO requisitions, processing invoices, payment verification and reconciliations for both projects and operating areas
  • General administrative support for the MCP, IS Infrastructure PMO and IT Operational staff including questions and concerns in the area of purchasing, contracts, invoicing, and receiving to help reconciling costs
  • Maintain a variety of project documentation related to governance and controls, tools and processes, financials, project performance reporting, contractor / vendor information, and resource allocation reporting
  • Provide support with the SharePoint project sites, including the ongoing permissions management
  • Facilitate the resource request process by sending out contractor resource requests to vendors, managing submissions, and booking the interviews
  • Running the onboarding / off-boarding process for contractors and ensuring they receive the required system access and equipment within the required timelines while upholding information security standards
  • Provide ongoing support and vacation coverage for other team members

  • Other duties as required by the project management team

Your strengths include :

  • A High School Diploma or equivalent is required
  • A Business Administration Diploma from a recognized technical institute, or a related University Degree in Business would be considered an asset
  • 2+ years of directly related clerical and administrative experience
  • 2+ years of professional experience in information technology
  • 2+ years of professional experience in a project assistant role
  • Strong team player with excellent communication and interpersonal skills, including the ability to establish working relationships with a variety of people
  • Ability to learn and perform new tasks and technology quickly
  • Intermediate skills in Microsoft Office; Outlook, Word, PowerPoint, Excel (including knowledge of macros, pivot tables)
  • Work experience in a project environment
  • Experience with Oracle Financials and Project modules is an asset
  • Experience with System Development Lifecycle is an asset
  • Experience with vendor management is preferred
  • Knowledge with basic accounting principles is preferred
  • Familiarity with ServiceNow is an asset
