TMG Search Canada has been retained by a national commercial property management company to assist in their search for a Facilities Manager to oversee a blended portfolio of facilities, property maintenance and external partners and service providers for the organization.
Reporting to the Director of Facilities, the Facilities Manager will support the development and management of the overall maintenance and will have budget oversight of all assigned facilities. This individual brings a high level of professionalism, integrity and curiosity with a customer-first mindset to a growing and progressive team-based environment.
Responsibilities
- Oversee the assigned portfolio of facilities across the Greater Toronto Area (GTA).
- Support in the development and management of the overall maintenance and capital budget(s) as related to assigned facilities.
- Work with the Director of Facilities to develop and maintain a three-year rolling budget and capital plan.
- Work with the Director of Facilities to ensure all buildings maintain full occupancy at market lease rates.
- Plan and supervise activities of facilities maintenance employees, including performance management activities, tenant improvement works, etc.
- Organize and lead facilities maintenance employees (directly and / or indirectly) to ensure efficient and timely use of personnel and resources while repairing and maintaining buildings, grounds, systems, equipment, electrical, plumbing, etc.
- Partner with external project managers and provide direct oversight to ensure successful project execution related to assigned facilities or as needed by the Director of Facilities.
- Works in collaboration with the other facilities managers in other jurisdictions as required.
- Process and administer paperwork such as PO’s, invoices, tenancy agreements, leases, and parking agreements.
- Tender, negotiate, and administer contracts.
- Oversee all stages of project management for assigned properties and others as needed, ensuring projects are completed on time, within budget, and to regulatory standards.
- Manage contractors and service providers responsible for completing facilities and equipment related projects and repairs.
- Work with the finance team to manage financial reporting, assist with year-end financial reporting / analysis and as required.
- Ensures all Regional, Provincial and Federal facilities, safety and environmental standards and regulations are adhered to and maintains a relationship with relevant oversight bodies.
- Oversee all HAZMAT programs, including wastewater and other HAZMAT disposal programs.
- Ensures the security of all facilities (and contents) as well as development sites.
- Provides “On Call” support in the case of emergencies.
Qualifications
A minimum of 8-10 years’ experience in facilities, property and project management, including maintenance oversight, lease administration, and tenant relations. Expertise in preventative maintenance, asset management, and building operations to ensure optimal facility performance.Strong ability to develop and implement operational strategies that enhance efficiency, reduce costs, and improve tenant satisfaction.Experience with EPCM projects related to greenfield and brownfield site development is considered a significant asset.Proven experience managing end-to-end projects, including facility upgrades, tenant improvements, and capital projects.Experience managing external project managers, trades personnel and / or general contractors from an owner’s perspective.Experience in requesting proposals, reviewing bids, negotiating contracts, selecting ‘best’ contractors, dealing with deficiencies, etc.Proficiency with basic office software (Word, Excel, Outlook) as well as property management software packages; understanding of Yardi considered an asset.Experience managing a variety of building types and tenant situations.Strong work ethic, customer service focus, communicate effectively and professionally, and positive“can do” team attitude.Excellent verbal and written communication skills with the ability to draft comprehensive written reports.Ability to manage and maintain private and confidential information with a high degree of professionalism.PMP or CPM designation is an asset.Valid driver’s license and reliable vehicle.For more information :
