About the Role :
Fitzrovia is seeking to hire a Construction Site Administrator to join our team. This role will provide administrative and clerical support services to the construction site team, as well as assistance with accounts payable / cost control for the site team. Experience working in a construction environment is strongly preferred.

Responsibilities
- Supports the day to day running of the construction site team
- Preparation of site meeting minutes, daily reports and timesheets, summaries and weekly progress reports and distribution accordingly
- Greeting visitors to site and ensure they are signed in and oriented to site procedures
- Field expediting of miscellaneous materials, rented and operated equipment
- Physical point of contact on-site for deliveries and pick-ups
- Assist with document control (distribution of drawings and specifications via Procore and hard copies where required)
- Update trailer boards with the most up to date Health and Safety procedures and reports
- Assist with the organization of site meetings as well as sub-trade coordination meetings
- Assist in the orientation of new site personnel
- Assist with surveying, layout, lines, levels, and verification of the work
- Routine correspondence to Sub-Trades and Suppliers in co-operation with the Superintendent and Project Management staff
- Assist Project Manager and Superintendent in tracking issues, changes in condition, requests for information and change orders and updating Procore
- Assist with the management of and track our QA / QC program
- Create and maintain spreadsheets for tracking of construction progress as requested by the Site Superintendent and Project Management Staff
- Assist the Superintendent with the execution of his / her duties
- Provides administrative support to employees on the construction site as required
- Manage the internal software; following all the process from ordering to invoicing, including inventory of the materials received (reconciliation)
- Support with contacting suppliers to resolve discrepancies
- Support with the timecard and payroll process for general labourers
- Match courier slips to invoices for Accounts Payable
- Administrative Support for Site Superintendents & Project Management staff including Purchase Orders (PO), Change Events (CE), Potential Change Orders (PCO), Contract Change Orders (CCO), Type minutes of meetings etc.
- Scanning / uploading and filing documents into PROCORE as required by Site Super intendent, Project Managers / Project Coordinators
- Provide accurate administrative support by composing and editing a variety of documents including letters, emails, agendas, reports and presentations
- Other duties as assigned
Qualifications and Experiences :
A minimum of 2 years in an administrative positionExperience in the construction industry is preferredExperience with accounts payable / invoice management, or cost control is preferredProficient with Microsoft Office, Excel, Word, Outlook, MS project, Procore (or another document control software)Effective communication skills both written and verbalEffective analytical and problem-solving skillsEffective time management skills and the ability to work independentlyThe ability to work in a fast-paced environment and work to deadlines and short turnaround time framesWillingness to learn new processes, procedures, and softwareWhy Fitzrovia :
