Job Overview :

Reporting to the Accounts Payable Supervisor, the Accounts Payable Vendor and System Administrator is responsible for supporting site staff with the accounts payable process in accordance with organizational policies and procedures.

Responsibilities :

  • Qualify and onboard vendors by coordinating with managers and outsourced qualification companies to obtain necessary documents (WCBs, COIs, etc.).
  • Process and maintain vendor set-ups in the accounting system and enterprise database, ensuring compliance with qualification requirements.
  • Guide Property Managers on vendor setup processes and maintain accurate vendor records.
  • Establish workflows and processes tailored to each property, collaborating with internal and external clients to ensure efficiency.
  • Serve as a primary resource for client accounting systems, troubleshooting user issues, researching solutions, and escalating unresolved matters.
  • Provide user training, documentation, and process support to enhance system knowledge and reduce errors.
  • Run periodic reports, perform scheduled system activities, and oversee vendor and system maintenance tasks.
  • Address and resolve internal and external information requests and customer issues with effective communication.
  • Participate in meetings to integrate activities, resolve issues, and stay updated on industry policies and regulations.
  • Maintain a professional team atmosphere, follow processes, uphold quality standards, and raise concerns as needed.
  • Adhere to attendance requirements for shifts, meetings, and training while supporting assigned projects and special tasks.

Skills & Qualifications :

  • 2-5 years of experience in a high volume, numeric, typing or data entry position required.
  • Strong experience in Microsoft Excel, Word, and Outlook required.
  • Excellent organizational skills to manage multiple tasks and tight deadline is crucial.
  • High attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent computer skills, experience with accounting software, Microsoft office suite.
  • Ability to work independently and within a team environment.

    Compensation :

    45,000.00 - $50,000.00 per annum
