Job OpeningaLocation : Expected Start Date : Full Time : Permanent : Posting End Date : Job Description : PGME Assistant- Office Assistant 4 (AESES)New Budget-Funded Continuing Full-Time 35.00 hours / week Monday to Friday 8 : 30 am to 4 : 30 pm. This is not a remote position and on campus work required.Salary Range : $24.27 - $33.05 per hour ($44,171.40 - $60,151.00 per annum)Proposed Start Date : June 17, 2024Trial / Probation Period : 840.00 work hours For more information, please contact : Penny Nanayakkara260 Brodie centre204-789-3490 or @ : - Coordinates the annual PGME New Resident Orientation, including scheduling speakers and ensuring appropriate AV equipment is in place and functioning throughout the day.- Coordinates alternate orientation day arrangements.- Assists with the Program Administrator & Program Director workshops, including promotional material, booking rooms, scheduling speakers, ordering catering (if needed), and ensuring appropriate AV equipment is in place and functioning.- Supports all aspects of various PGME committees, including but not limited to the PGME Assessments & Entrada Committee and the PGME Academic Curriculum Committee. This includes distributing the agenda, recording minutes, and following up with action items.- Assists with updating the PGME website and intranet to ensure the site is current and relevant for learners and the University community.- Maintains and updates the applicable filing systems, databases, and spreadsheets; designs queries to create merge documents and mailing lists / labels; recommends changes to forms and tables.- Assists with PGME's new trainee registration process as required.- Participates daily in various duties associated with the accreditation process and reports to the accreditation leads as required; stays informed of accreditation standards related to the area.- Handles administrative requests for information from internal and external organizations.- Arranges learning environment assessment scans with programs; sends out surveys, books appointments, one-on-one meetings, interviews, and workshops; books space and associated services; secures the required equipment.- Assists with providing administrative support to PGME core curriculum courses as required.- Assists with creating and collecting data for all PGME-related surveys and data collection.- Maintains and updates the procedures manual for this position.- Performs other related duties as : MINIMUM FORMAL EDUCATION / TRAINING REQUIRED : - Completion of a formal training program from a recognized institution in a related discipline required. EXPERIENCE : - 3 years of directly related experience required.- Experience with the Curriculum Management system is preferred.- Experience with website management systems is preferred.- An acceptable equivalent combination of education and experience may be considered. SKILLS & ABILITIES : - Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint) and virtual platforms required.- Knowledge of U of M policies and procedures as they relate to the function / program preferred.- Ability to work in harmony with others and provide assistance to staff, students, and the public required.- Effectively completes tasks independently and in conjunction with others required.- Ability to follow instructions and handle a variety of clerical duties required.- Appropriate communication skills, both verbal and written required.- Satisfactory work record, including satisfactory attendance and punctuality, is required.
