Your Opportunity :

This role will perform secretarial and administrative duties for the Director, Building Services Grounds & Trades and the Director, Sustainability & Energy Management. The incumbent will exercise good judgment and independence and has a thorough knowledge of the routines, practices and policies specific to Facilities & Services and the University. As the Assistant, you will coordinate communications and schedules on behalf of the Directors, develops and maintains office processes and procedures. As well, regularly attend meetings, drafts, provides input to and coordinates documents and information of a confidential nature involving discussions about operations, labour relations protocols and procedures, joint health and safety committee, staffing issues and decisions. The incumbent in this role will produce meeting minutes and reports, and processes invoices, expense reimbursements and ensures proper approvals are in place.

Qualifications : Education :

  • Post-secondary diploma in Business Administration or an equivalent combination of education and experience.

Experience :

  • Minimum three years' experience in administrative and secretarial work
  • Skills :

  • Demonstrated experience working with Word, Outlook and Excel, and with standard office technology such as a computer, fax machine, photocopier, calculator etc.
  • Excellent word processing skills.
  • Demonstrated oral and written communication skills
  • Demonstrated problem solving skills
  • Other :

  • Good judgment, tact and communication skills both oral and written.
  • Good knowledge of the Departments activities and operational priorities.
  • Proven ability to organize and schedule work, take initiative and be creative at solving problems.
  • Ability to manage conflicting priorities and deadlines
  • Detail oriented, accurate and ability to work within established timelines.
  • Demonstrated numerical and financial aptitude.
  • Ability to deal with confidential information related to staffing models, priorities and proposals, labour relations; a high level of tact and diplomacy; credibility and relationship-building skills.
