Your opportunity :

As the MFI Graduate Administrator, you will report to the Manager, Graduate Programs and the Director, Administration and Finance, serving as the primary point of contact for program inquiries and overseeing the end-to-end operational and administrative aspects of a highly successful professional program. Your responsibilities will include marketing and recruitment, managing the admissions process, coordinating program scheduling and management, student records, graduation procedures, and alumni engagement. Additionally, the role involves analyzing data for program planning, developing outreach materials, maintaining website updates, and advising students and faculty. Other duties include organizing events, leading workshops and information sessions, handling confidential information, making referrals, managing minor purchases, and acting as a key resource for various program functions.

Your responsibilities will include :

  • Advising students on academic and / or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background
  • Reviewing and assessing petitions for special consideration
  • Providing detailed information on program and / or course eligibility requirements, procedures, policies and deadlines
  • Analyzing statistical information to inform enrollment projections and planning
  • Delivering student recruitment presentations
  • Interpreting guidelines to determine the eligibility of graduate students for teaching assistantships
  • Preparing draft employment letters using templates
  • Evaluating and recommending appropriate work-integrated learning opportunities for students

Essential Qualifications :

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum four years inrecent and related experience counselling graduate students on academic matters and providing administrative support to a graduate program.
  • Extensive knowledge of the University with emphasis on the Faculty of Arts and Science graduate academic guidelines and procedures or other related procedures.
  • Experienced in managing graduate office administration, including scholarships, exams, petitions, admissions, awards, scheduling, records, and enrollment analysis. Experience with optimizing service delivery and admissions processes.
  • Experience supporting graduate programs by coordinating recruitment for teaching assistants and / or course instructors.
  • Experience supporting individuals in distress and making appropriate personal, academic or financial referrals.
  • Experience leading seminars and / or workshops and preparing promotional and outreach material.
  • Advanced skills in Microsoft office including Excel, Access, PowerPoint and Word.
  • Advanced skills of ROSI / ACORN system or other related student database system.
  • Strong working knowledge of creating and maintaining databases and statistical reporting. Excellent verbal and written communication skills. Excellent interpersonal and analytical skills. Proven collaborative and teamwork skills.
  • Excellent problem solving and organizational skills. Shows leadership, good judgement and initiative. Excellent presentation skills.
