Executive Assistant - Must be Bilingual in French and English
Our client is looking for a professional, career Executive Assistant who is articulate and proactive to join their team.
What Your Impact Will Be
Reporting to the President & CEO, the Executive Assistant will provide confidential high level administrative support and will manage the flow of information and materials to ensure professional and efficient operation of the CEO’s office.

Responsibilities
- Manage the calendar of the CEO which includes prioritizing projects, scheduling meetings, establishing suitable venues, preparing materials for meetings, ensuring the executive stays on track, and organized throughout the day
- Coordinates travel arrangements and prepares related travel itineraries and agendas for the CEO and / or others as appropriate most travel is mainly in Canada.
- Prepares and / or drafts a variety of confidential correspondence, reports, and presentation materials
- Minute taking for board meetings.
- Maintains contacts for the CEO
- Responsible for organizing multi-faceted events / meetings. This includes budgets, arranging and configuring meeting space, coordinating catering and audio-visual services
- Acts as liaison with various individuals both internally and externally, at all levels of the organization with the highest level of customer service
- Processes expense claims primarily for the CEO and reconciles corporate credit statements
- Liaises with Communications to disseminate communiques from the CEO to recipients such as government, stakeholders, and the community
- Phone call management will include screening and prioritizing all phone calls
- Ad hoc duties and special projects as required
- Assists in the preparation of all Board meeting materials
Must Haves
- Bilingual in French and English
- References are required from most recent manager (NOT CURRENT EMPLOYER)
- 3+ years in an Executive Assistant role
- Strong people skills, articulate, attention to detail.
- Diplomatic, forward thinking and savvy.
- Strong Calendar Management Skills
- Competence in recording and transcribing meeting minutes.
- Extensive knowledge of MS office (Word, Excel, Outlook)
- Proficient in verbal and written communication skills, capable of assisting with communications tasks as required.
- Proficiency in effective time management skills, including prioritization, organisation, task delegation, and meeting deadlines.
- Strong interpersonal abilities to establish a broad network of relationships with both internal and external contacts.
- Capacity to uphold strict confidentiality, demonstrating mature judgment, tact, and discretion.
- Exceptional organizational skills with an adept ability to prioritize tasks effectively.
